Previously, they would go to ‘Awaiting Approval’ or ‘Awaiting Payment’ depending on their status in Zigaflow. To simplify the process, they will now go directly to ‘Awaiting Payment’.
Each module now has a ‘Note for Staff’. This can be used to leave instructions for staff to make sure the correct actions are carried out:
They are not visible to the client.
For the maximum power, set these up in the pre-builds – from here they will be copied to any resulting quotes, jobs/orders, purchase orders, etc.
You now have greater visibility over your pipeline of leads/opportunities.
Set the probability of a lead’s success by stage so when a lead is moved to a stage the probability is automatically set and the new weighted / probable value calculated.
Set this up in the Leads/Opportunities/Pipeline page.
At the top of each stage the total of all the weighted / probable values is now shown, with the grand total shown on the top right:
You can now choose what populates from Zigaflow to the invoice ‘Reference’ field in Xero.
To manage this, go to the Cog ->Integration Settings -> Xero -> Settings
Prevent staff from quoting products that are not longer available.
Each product and service (item) can now have an expiration date. When this date has passed the item is struck through and your staff cannot add it to a quote.
It is now possible to add optional products and services into a quotation, mixed with the included items. They are marked as ‘Optional’ and their total values are not included in the section or overall totals. For example:
Previously, the only way to do this was to have them in a separate section that had to have the ‘Include in Total’ box unticked but this gives you the ability to put them where they are most appropriate.
To make a product or service optional, click on the menu for the item and select ‘Set Item Optional’:
Use the same menu to reverse this.
Note: In Q2021 we plan to make it possible for clients to add/remove optional items on the client page. Currently, ‘optional’ items appear in the same way as non-optional items on the client page.
Use the tag {AgreementPosition} to reproduce it on your PDF templates.
Make your quotations look more professional by automatically including your client’s logo in your quotation.
Add the tag {ClientLogo} to your quotation template and add the logo the client’s details. You can change the size of the logo by adjusting the width of the table column it is in.
Make sure your team does what is needed every time – set up the tasks that need doing when a quote, job, etc. move status.
If you want a task to book a site visit when the client confirms a quote, or for the purchasing manager to check stock, these can be automatically generated and assigned to a specific team member.
